How much does ABA software cost?
Of the 8 ABA platforms compared here, 5 publish their pricing: Cadence ABA, Motivity, Hi Rasmus, Theralytics, and Raven Health. Among those that publish a per-client rate, the entry tier runs from $18 to $24 per client per month. CentralReach, Catalyst, and Rethink Behavioral Health price by custom quote. The billing unit differs as much as the price: some vendors charge per client, some per staff seat, and some take a share of collected revenue.
The four ways ABA software is priced
The billing unit decides what your bill tracks - caseload, headcount, revenue, or a negotiation - so the same practice can pay very different amounts at similar headline rates.
Per client
A monthly rate for each client served - some vendors say learner. Staff accounts are usually not billed separately, so adding an RBT or a BCBA does not change the bill.
- What drives the cost
- Caseload. The bill rises and falls with the number of clients receiving services that month, which keeps cost proportional to the revenue those clients generate.
- What to ask
- What makes a client billable in a given month, whether there is a monthly minimum, and which features sit on a higher per-client tier.
- Who bills this way
- Cadence ABA, Motivity, Hi Rasmus, and Theralytics
Per user seat
A monthly charge for each staff account - RBTs, BCBAs, and often administrative users.
- What drives the cost
- Headcount. A practice with many part-time RBTs per client pays more per client served than one with fewer, full-time staff, and hiring raises the bill before new clients do.
- What to ask
- Which roles need a paid seat, whether inactive or occasional accounts are billed, and whether a seat can be reassigned when someone leaves.
- Who bills this way
- CentralReach and Rethink Behavioral Health
Share of collected revenue
Software bundled with a managed billing service and paid for as a percentage of what the service collects.
- What drives the cost
- Revenue. There is little to pay before claims are collected, but the cost grows with the practice's income rather than its use of the software, and changing billing providers means changing software too.
- What to ask
- The percentage, whether it applies to billed or collected amounts, what the service includes, and what leaving it involves.
- Who bills this way
- Raven Health
Custom quote
A price set per customer, usually after a demo, often built from users, modules, and services.
- What drives the cost
- Negotiation. A quote can be shaped to the practice, but it cannot be compared with anything else until a sales process is under way.
- What to ask
- The billing unit, the full list of modules and what each costs, implementation and onboarding fees, and renewal terms - in writing.
- Who bills this way
- Catalyst
ABA software pricing: questions
- How much does ABA data collection software cost?
- Among ABA platforms that publish a per-client rate, entry tiers run from $18 to $24 per client per month (Cadence ABA at $18, Hi Rasmus at $19, Theralytics at $20, and Motivity at $24), and tiers that add billing or practice management cost more. CentralReach, Catalyst, and Rethink Behavioral Health do not publish prices and quote each practice individually. Total cost also depends on monthly minimums, add-on modules, and whether staff accounts are billed on top of clients.
- Which ABA software companies publish their pricing?
- Of the platforms compared here, Cadence ABA, Motivity, Hi Rasmus, Theralytics, and Raven Health publish their pricing on their own websites. CentralReach, Catalyst, and Rethink Behavioral Health require a custom quote, typically after a demo. Pricing details reflect each vendor's public materials as of September 2026 or later.
- Is ABA software priced per user or per client?
- Both models are common. Cadence ABA, Motivity, Hi Rasmus, and Theralytics charge per client (or learner) per month, so cost tracks caseload. CentralReach and Rethink Behavioral Health bill by user seat, so cost tracks headcount, and Raven Health offers software paid for as a share of collected revenue through managed billing. Per-client pricing tends to favor practices with several staff per client; per-seat pricing can favor practices with few staff and large caseloads.
- What should I ask an ABA software vendor about pricing?
- Ask what the billing unit is (client, user seat, or a share of revenue), what makes a client or user billable in a month, whether there is a monthly minimum, which features are add-ons or higher tiers, whether implementation, onboarding, or data-migration fees apply, how long the commitment is, and what it costs to export your data if you leave. Get the answers in writing before signing.
