ABA Practice Operations Advisor/Lead

Advise practice owners and clinical leadership on documentation, billing, and authorization workflows - and get them ready for the payer reviews and audits that follow.

Customer SuccessLeadRemote (US)Full-time

Cadence ABA is looking for an ABA Practice Operations Advisor/Lead to help ABA practices run smoothly on top of a voice-first, agentic clinical data platform. This role sits at the intersection of clinical operations knowledge and customer-facing advisory work, helping practice owners, BCBAs, and administrative staff structure their workflows, billing processes, and compliance practices around modern ABA data collection and documentation tools. You'll act as a trusted advisor to clinics adopting or scaling their use of the platform, translating operational needs into practical guidance and, where needed, into product feedback.

What you'll do

  • Advise ABA practice leadership on operational best practices for session documentation, billing workflows, and authorization tracking
  • Serve as a subject-matter expert on ABA practice management during onboarding, implementation, and ongoing account support
  • Identify gaps or inefficiencies in a practice's clinical operations and recommend process improvements
  • Partner with product and support teams to relay client operational needs and surface recurring pain points
  • Support practices in preparing for audits, payer reviews, and compliance checks related to billing and clinical documentation
  • Develop and maintain playbooks, training materials, and best-practice guides for practice operations

What we're looking for

  • Several years of experience in ABA practice management, operations, or a related clinical operations role
  • Strong working knowledge of ABA billing, CPT coding conventions, and payer authorization processes
  • Familiarity with ABA measurement systems, treatment plans, and clinical documentation standards
  • Excellent communication skills, with the ability to advise both clinical and administrative stakeholders
  • Comfort working with software platforms and translating operational needs into product or workflow requirements
  • Ability to manage multiple client relationships or practice accounts simultaneously

Nice to have

  • Experience with ABA-specific software platforms or EHR/practice management systems
  • Background as a BCBA, RBT, or in a clinical operations leadership role within an ABA practice
  • Experience supporting audit readiness or compliance programs in a healthcare or clinical setting
